Client Grouping
Client grouping within XPLAN allows you to group and create a relationship amongst various client entities to help
display how they are associated and linked. Grouping clients allows you then to utilise further XPLAN functionality
such as client reporting, template creation and analysis based on the entire group.
How to Group clients
When grouping clients, it is important to first identify who is the Master client (the client that the Client Group is
created against). You can then build your Relationship Tree (how entities are linked to each other) from there. Wealth Axis strongly recommends that the Master client be the individual client entity (who may or may
not have a partner) and all companies, SMSF’s and trusts be linked to this Master entity.
To group clients in XPLAN
- Using the Search text box in the top right hand side of the screen, search for the Master client entity you
wish to group other entities to.
- Click on the clients name once it appears in the bottom half of the screen to
go to the client’s main screen.
- Once within the client entity main screen, use the left hand menu to go to Client Summary > Groups > Related Clients.
- The client’s current Relationship Tree will display in the Client Group Members section. To add an entity
to the group/tree, click on EDIT in the top right hand corner.
- Click on the + icon for the primary client in the Client Group Members section.
- The Add Relationship dialog box will now appear.
- Use the drop down menu to select the Relationship Type (how the entities are related) and search for the
client entity you wish to group to the Master client by clicking on the Entity search functionality.
- Using the
Lookup Client functionality, search for the applicable client entity and click on OK.
- In this example we will be grouping the Dunphy Family Super Fund to the Master entity, Sam Dunphy. Therefore
the Relationship Type will be Super and we will search for Dunphy Family Super Fund as the Entity.
- Click on OK to close the dialog box.
- The entity has now been added to the Master entity and Relationship Tree. Click on the Check Box next
to the new entity (in this instance the Dunphy Family Super Fund) to confirm the relationship.
Ensure you click on Save to record this relationship against the Master client.
- NOTE: Only entities which have their check box ticked are members of the client group.
To Edit/Remove a Client Grouping or Relationship
Occasionally users will need to remove or change the Client Group Relationship. Complete the following steps within the Client Summary > Groups > Related Clients screen;
- Click on the + icon for the primary client in the Client Group
Members section. The linked entities will now display. From here you can edit the way the client entity is
related to the Master entity or remove it entirely from the Client grouping.
- Use the pencil icon to Edit the client grouping. Once the Edit Relationship dialog box appears, select the
appropriate Relationship Type. Click OK to save.
- Use the x icon to remove the client grouping from the Master entity. Click on OK to confirm that you wish
to remove the relationship from the ‘Master’ entity.
Tips and Tricks
- All grouping needs to be manually completed by the user.
- Partners are always treated as members of a client’s Client Group, and as such, cannot be excluded.
- When linking members to a group, it is important to remember the process is one-directional. For example: If you link Sam Dunphy to the Dunphy Family Super Fund, it is important to remember that that Sam Dunphy is not automatically added to the Sam Dunphy Family Super Fund Client Group.
- Once a client group is set up, useful functionality such as synchronizing Contact Details across the client group can take place so that the master entity contact details can be shared and saved across all group members.
- Entities who do not have their check box ticked against their name are not Client Group members, however can be linked to demonstrate that there is an existing ‘relationship’ with the ‘Master’ entity.
