XPLAN: Redirecting Task Notifications

XPLAN task notifications can be sent to your Email Inbox (e.g. Outllok, Gmail) to notify you if a task has been created, unactioned, is overdue or complete. If the task notifications cannot be turned off, then you can set up rules to redirect them to a Folder in your Inbox. To set up emails to be automatically moved to a selected folder, please see below instructions (These are to set up a rule based on specific words in your emails subject line. As you will see, there are other criteria you can use to base your rules on).
To move all emails to a newly created folder:
1. Set up a Folder for XPLAN Notifications;
2. Right client on the existing message in your inbox and select Rules > Create Rule;
3. Select a condition and what you want to do with the message based on that condition. For example, the condition in this case will be to Move Messages with a certain title to the XPLAN notification folder. To do this, select the Subject Contains condition and select Move item to folder and OK.
4. You can then select Run this new rule on messages already in the current folder and select OK.
To use a template (in Outlook):
1. From your email Inbox, go to File > Manage Rules & Alerts > New Rule
2. Select a template and rule - click on underline "with specific words in subject or body"
3. Then click on the blue underline rule and click on the blue underlined "specific words" in subject or "specific words" in body, enter the words contained in the subject or body you want to move.
4. Select OK and then Finish.
