Client Management - Adding/Purging Clients: Partner

Adding a Partner to an existing Client 

Creating client groups is useful in XPLAN for the following reasons:
  1. A life event such as marriage or a defacto relationship where the client wishes to include a partner (who currently does not exist in XPLAN) in their financial planning.
  1. At times, importing data into XPLAN can result in clients and their partners being imported as individual entities rather than client and partner joint entity. Rather than manually re-entering all partner details into the client and then delete the partner (as the individual entity), we can simply link a client and their partner together.
To add a partner to an existing client;

  1. Search for an individual client already in XPLAN (one currently without a client). Once within the client’s main screen, use the left hand menu options to navigate to Client Menu > Key Details > Key Details.

  1. Next, click on the downward facing arrow next to the client’s name at the top of the screen and select the Edit Partner option.

  1. The Edit Partner dialogue box will now appear. Select the type of partner you wish to add as follows:

    1. Edit new partner entity: by selecting this you wish to add a partner that does not currently exist in XPLAN.

    2. Use existing client as partner entity: by selecting this you wish to add a partner that already exists in XPLAN as an individual entity.

  2. If selecting the Edit new partner identity, choose this option and then click on the OK button.



  1. The Key Details screen will become editable which you will be able to use to add the partner. Once the partner’s details have been completed, choose Save button.



  2. If selecting Use existing client as partner entity, click the downward facing arrow located in the box beneath this option to search for the partner in XPLAN. 

  1. The Lookup Client dialog box will now appear. Search for the existing client and once found, click on their name to highlight. Then, choose the OK button. 

  1. The partner’s details will now populate and merge across into the client entity. Once the partner has been added to the client, the entity can now be used in a joint capacity. 

Purging/Separating a Partner from the Client

To Purge a partner from the client, you are essentially separating the client and partner so that the partner becomes its own independent entity in XPLAN or can be archived from the database. The Purge functionality also allows one to switch the client and partner so that the partner becomes the primary client and the former client now becomes the partner.

A partner may be purged from its client for some of the following reasons:
  1. A deceased client or partner
  2. A divorce
  3. Client and partner were originally incorrectly linked
  4. The client remains an active client while the partner is no longer active


To complete the separation or Purge of the partner from the client, complete the following steps;



  1. While within the client and partner you wish to purge, use the left hand menu to navigate to Key Details


  1. Choose the downward facing arrow next to the client name, and select Purge Partner Options.


  1. The Purge Partner Options dialog box will now appear. Select between the following:
    1. Hard Delete: In the example below, will completely delete Lilah Dunphy from XPLAN.  
    1. Separate: This will remove Lilah Dunphy from the client and let Lilah become a new individual entity within XPLAN. 
    1. Switch: Choosing this option will make Lilah the primary client entity and Sam the partner entity.


  1. Once complete, choose the OK button.
  1. Once the Purge Partner Options dialog box is complete, click on the OK button.
  1. The client and partner will now have been separated and can now be used in XPLAN as individual entities. From here, clients who are deceased can now be categorised as such and archived appropriately. Divorced or separated clients can also now be categorised accordingly and where necessary, archived.
