Client Management - Client Administration: Separating a Client and Partner

Separating a Client and Partner Overview

Generally, a couple’s client records are linked in your XPLAN CRM and their financial situation is recorded accordingly in Client Focus.
Follow our practical guide on how to unlink their client records. 

How do I separate a Client and Partner?

How you separate a Client and Partner will depend on their circumstances:
  1. The Client and Partner have separated.
  2. The Client is deceased.
  3. The Partner is deceased.

Client and Partner have separated

To separate a Client and Partner if they have separated:
  1. Locate the master client’s record in XPLAN.
    1. Before separating a Client and Partner, you will need to ensure there are no joint assets, liabilities or portfolio datafeeds.
    2. Purging a Partner when a portfolio contains joint holdings creates a new entity representing the joint assets. These assets can be transferred as needed.
  2. Go to Key Details > Main.
  3. Click next to the client name, then select Purge Partner Options:

  4. Select Remove & Create and select ONE of the following Notes options:
    1. Copy client notes to new partner entity: A new client entity is created for the Partner, and is set as a related entity of the existing Notes.
    2. Copy client notes and remove partner as related entity: A new client entity is created for the Partner. Notes are duplicated and new Notes are linked to the partner’s new client entity. The Partner’s new client entity is not set as a related entity of the existing Notes.

  5. Click Ok.
  6. The Partner will now be set up as a separate master client. It is recommended you ensure the Partner’s Review and FOFA data is captured in their new client record.

Client is deceased

To separate a Client and Partner when the Client is deceased:
  1. Locate the master client’s record in XPLAN.
    1. Before separating a Client and Partner, you will need to ensure there are no joint assets, liabilities or portfolio datafeeds.
    2. Purging a Partner when a portfolio contains joint holdings creates a new entity representing the joint assets. These assets can be transferred as needed.
  2. Go to Key Details > Main.
  3. Click next to the client name, then select Purge Partner Options:

  4. Select Switch:

  5. Click Ok.
  6. Click Screen_Shot_2018-07-17_at_9.30.34_AM.pngnext to the client name, then select Purge Partner Options.
  7. Select Remove & Create and select ONE of the following Notes options:
    1. Copy client notes to new partner entity: A new client entity is created for the Partner, and is set as a related entity of the existing Notes.
    2. Copy client notes and remove partner as related entity: A new client entity is created for the Partner. Notes are duplicated and new Notes are linked to the partner’s new client entity. The Partner’s new client entity is not set as a related entity of the existing Notes.

  8. Click Ok.
  9. It is recommended you link the deceased Client’s new record to the Partner (who is now the master client). To find out how, in the Zendesk go to Clients Management > Linking clients.

Partner is deceased

To separate a Client and Partner when the Partner is deceased:
  1. Locate the master client’s record in XPLAN.
    1. Before separating a Client and Partner, you will need to ensure there are no joint assets, liabilities or portfolio datafeeds.
    2. Purging a Partner when a portfolio contains joint holdings creates a new entity representing the joint assets. These assets can be transferred as needed.
  2. Go to Key Details > Main.
  3. Click next to the client name, then select Purge Partner Options:

  4. Select Remove & Create and select ONE of the following Notes options:
    1. Copy client notes to new partner entity: A new client entity is created for the Partner, and is set as a related entity of the existing Notes.
    2. Copy client notes and remove partner as related entity: A new client entity is created for the Partner. Notes are duplicated and new Notes are linked to the partner’s new client entity. The Partner’s new client entity is not set as a related entity of the existing Notes.

  5. Click Ok.
  6. It is recommended you link the deceased Partner’s new record to the Client. To findout how, in Zendesk go to Clients Management > Linking clients.
