Managed Field Content Overview
The purpose of this guide is to provide instructions on utilising Managed Field Content in XPLAN.
At times you may wish to allow users to generate templates for the entry of text into a field. XPLAN allows for string fields to be set as Content Templates, allowing any user with a Client Focus license to create and save their own text entry templates.
When a user access a rich text field with Managed Field Content enabled, the user can access a list of their own saved templates, and shared templates, and automatically fill in the field's text content. Once a template has been used the user can then manually edit the text as required.
Managed Field Content Capabilities
The following user capabilities are related to Managed Field Content:
- User Settings - Manage Field Content
- User Settings - Set Default Manage Field Content
- User Settings - Administer Manage Field Content
- User Settings - Set Managed Content to Share with All
- User Settings - Set Managed Content to Share with Groups
How to Enable Managed Field Content
To enable the field for Managed Field Content:
- From the Title bar at the top of the screen, select XPLAN > Administration Functions > Field Definitions
- Select the String field that you would like to enable the content for.
- Change the setting Content Template to Yes:
Creating Managed Field Content Templates
To create the content to be used in Managed Field Content fields:
- From the Title Bar at the top of the screen, select XPLAN > User Functions > Managed Field Content.
- A list of the available Managed Content fields will open.
- Select the field that you wish to add the content to by clicking on it:
- When the field is highlighted, scroll to the bottom of the screen.
- You will see any existing templates for that field.
- Click Add to create a template:
- Enter the details of the template:

Name: Enter a name for the Content Template.

Permission: Private, share it with other users in your user groups, or make it globally accessible.

Category: Select a field to condition the Content Template on, or select No Category to not use conditioning.

Option: If you selected a Category, the Option list will display all the options in the selected Category. Select the Option that must be selected to make the Content Template display.

Template Value: Type the text to be inserted when the Content Template is used.
- Click Save.
Using Managed Field Content Templates
A text field that has Managed Field Content enabled will be distinguished by a Template button for this field:
To use the template text:
- Click on the Template button
- Select the relevant option that is listed:
- You will be asked to Append or Override the information:

Append: Add to the content that is already in the field.

Override: Override the content that is already in the field.
- The template text will autofill into the text field:
- Edit as required.
