XPLAN Implementation Guide - SOA Managed Field Content

XPLAN Implementation Guide - SOA Managed Field Content

SOA Managed Field Content Overview

The purpose of this lesson is to show you the steps to set up your own Managed Field Content that can be used when SOA documents are being created.

Managed Content will help you to personalise your letters, Statements of Advice and Review documents for your clients.

XPLAN is set up with Managed Content provided by MLC and all advice documents are linked to this content. As you become more familiar with the SOA Wizard and the existing Managed Content available for use in your documents, you may want to create your own text to use. This will save me and reduce duplication.

XPLAN Champions can help other users in the practice understand how to use Managed Content. If the practice wants to have their own managed content that can be chosen when writing SOAs, the XPLAN Champion should ensure the template is shared with other users in the group.

What is Managed Field Content

Managed Field Content allows you to create and save a template of your own text so that it is available when you are creating your documents. When creating a Managed Content Field, you have the op on to share the template with other users or keep the template private so the template is only available to you. After you have selected a template to be used in a field you can then manually edit the text as required.

As shown, fields that have the Template button can be used to select an existing Managed Field Content template or you can add new Managed Field Content to the field.

How to add a Managed Field Content

Before a template can be selected from designated template fields within a Wizard you will firstly need to create the template text in XPLAN's Managed Content > Template fields screen.

  1. Click on the Home Menu button.
  2. Hover over the User Functions menu item and the submenu will appear.
  3. Click on Managed Field Content. You will be taken to the Managed Content > Template fields screen.

  1. You will be taken to the Template Fields screen which will list all the fields that Managed Field Content templates can be added to.

We will now illustrate how to add a Managed Field Content Template to the "[Strategy] Other introduction" field which is found in the SOA Wizard Strategy page.

  1. Click on the field that you wish to add a template too. In this example we have selected [Strategy] Other introduction. The Template Values panel will appear at the bottom of thescreen (you may be required to scroll down the screen to view this panel.)
  2. In the Template Values panel click Add. An Edit Value pop up screen will appear.

To assist in understanding which fields within XPLAN we refer to when completing the fields in the Edit Value screen, we have provided an example of the SOA Wizard page below which we will be referring to in the following instructions. The example we have used in the Edit Value screen will relate directly to the field shown in the SOA Wizard page example below.

  1. Enter the Name of the Managed Field Content Template. This is the name that will appear when selecting a template from the field (see SOA Wizard Page example below).
  2. Select in the Permission field if you would like the template to be Private (only available for you to use), Shared with your Group (only users within your group can use the template) or Shared with All (the template will be available to all users).
  3. The Category field can be used to make the template you are creating conditional on fields. For instance if you would like the template to be viewable in the "[Strategy] Other introduction" field with no conditions, select No Category in the Category field in the Edit Value screen. However, you can set up the template so that it only appears dependant on an Option selected in a field. It is important to note that each field in the list will have different categories to select when adding a condition. In the example provided, we have selected "Strategy area" in the Category field.
  4. The Option field will only contain op ons if a Category has been selected. For example, we have selected "Strategy area" in the Category field therefore only the op ons that are available in the "Strategy Area" field will be available.
  5. The text entered into the Template Value field in the Edit Value panel will appear in the chosen field when selecting the template. In the SOA Wizard Page example the template contents appears in the Other Introduction field.
  6. Click Save to save the template.

XMerge Report

You will access the email system each time you are required to send an email to a client from within XPLAN.

The XMerge Report function is an excellent way to save time when sending coded documents to clients. Rather than merging a document and then attaching it to an email when sending it to a client, this process can be completed in one step in Xplan.
