XPLAN can produce custom reports from templates that contain client and user data using XMerge syntax. When a report is generated, the XMerge syntax is used to identify and insert data.

XMerge syntax functional ranges from simple insertion of field data such as client names to advanced conditional and looping processing. Examples of this include only merge certain syntax if clients meet certain criteria, or looping through all of a client's Assets and reporting key details.

To help construct templates, the Xword toolbar can be installed into Microsoft Office and allows you to import syntax from XPLAN and insert it into documents. Example Xmerge syntax and reports are available in the XPLAN Template Library.

Note: This Quick Reference Guide does not show you how to code a template.

Creating Merge Templates

  1. From the Title Bar at the top of the screen click XPLAN > Administration Functions > Templates.
  2. The Manage Office Templates page will open, and a list of template categories will open.
  3. Locate the category that you wish to add the template to and click the Expand button. A list of templates under the category will open.

  4. Click Add Template button. The Report Template Details editor displays.
  5. Enter Template information:

    • Template Name: Enter the name of the template
    • Description: Enter a description for the template
    • Report Type: Enter the Type of the template. This is an important field as it will enable different types of code to work in the template
    • Comments: Enter any comments applicable

  6. Click Create.
  7. The Report Template Details page displays.

The main items of interest on this page are the Note fields. This is where you would select the file note template or manually enter the file note details for automatically saving to the client file:

  8. Click Edit to amend any details required. Click Save to take you back to the Report Template Details page.
  9. From the navigation menu, select Files.
  10. Click Choose File, find and select the template to upload.
  11. Enter a Description of the template file.
  12. Click Upload.

  13. You will see the file under the Template Files panel:

  14. From the navigation menu, select Variables to see any variables required by the template.

  15. From the navigation menu, select Quick Merge.

This page allows you to select which modules of XPLAN this template will be available from. This can be done for the user account that is uploading the files, or for a User Group.

  16. From the navigation menu, select Action Manager.

This page will allow you to specify the actions to be performed by XPLAN. You would need to insert a barcode generating code into the template for this to work for your document.

  17. Referrer Access is only used for referrers that have a referrer login to XPLAN.
  18. Click List to go back to the Manage Office Template Page.
  19. You template will now be sitting under the Template Category.
