Templates - Diary Templates

Diary Templates Overview

The purpose of this guide is to provide instructions on Creating Diary Templates in XPLAN.

Diary event templates can be created for events the frequent occur. A template will automatically enter information into a new event.

 

Creating Diary Templates

To create a Diary Template:

  • From the Title Bar at the top of the screen, navigate to Administrations Functions > Templates.
  • Select Diary Template from the left hand navigation menu:

  • A list of existing diary template will be listed.
  • Select Add in the top right corner of the screen.
  • Enter the name of the template in the Title field:

 

Details tab

  • Complete the relevant fields under the Details Tab:

    • Description: Enter the description of the event
    • Category: Select the Category of the event
    • Priority: High, Normal, Low
    • Permission: Public Edit, Public View, Participants Edit, Participants View, Private
    • Client Access: Event is visible in Client Online Access
    • Outcome: Set the default outcome of the event Held, Not Held or Not Specified. See Outcome Tab for more information
    • Template: Set the Email Template to be used with this event
    • Shared: Is this a shared template
    • Owner Edit Only: Select if the owner of the template is to be the only editor
    • Thread Template: Set a Thread to automatically activate when this diary template is used
    • Make available to referrer: Available to referrer
    • Make available to prof. adviser: Available to prof. adviser
    • Dynamic Participants: Use the dynamic participants field to add users to the appointment

 

Attendees/Resources Tab

  • Client the Attendees/Resources Tab and complete details as required:

  • Use the dropdown list to select alternative items to add to this event template.

 

Clients Tab

  • Click the Clients Tab and add any relevant details to this template (Not normally used as templates are applied to any client in your database)

 

Outcomes Tab

  • Outcomes can be applied to the event, if the event is Held/Not held. For this example a file note template of 'Discovery Meeting' will be applied to the client file, if the meeting is held



  • Click OK



Attachment Tab

  • Click the Attachment tab. Attach any file from your computer to the event template by clicking the Paperclip icon

 

Notification Tab

  • Click the Notification tab. Specify which entities will receive an email notification on creation of the event. This will use the email template specified under the Details tab:

 

Email/SMS Reminder Tab

  • Click Add to add in an email or SMS

  • Select the Template to be used

  • Make any amendments as necessary
  • Click Save for the Email/SMS template
  • Save the Diary Template.
