Digital File Management Guidelines

To comply with your Licensee’s record keeping requirements, XPLAN Notes are to be used for the storage of all documents and client file information in line with the File Note Framework and Naming Convention (as required).

All documents required for your clients’ files must be stored in XPLAN as soon as practicable (best practice is to upload documents “as you go”), but no later than one month after the advice document was presented to your client or the document was created.

 

Storing your clients’ key documents and client file information

When storing your clients’ key documents and client file information, you are required to select the prescribed Note Type and Subtype from the File Note Framework. Refer to the Appendix for the list of key documents and client file information.

The filenames of key documents must also be in line with the Naming Convention. For example:

  • YYYYMMDD > Document Type > Surname > First Initial > .xxx

    For example: 20180522 SoAggs J.docx

  • YYYYMMDD > Document Type > Entity Name > .xxx

    For example: 20180522 SoA Bloggs Family Trust.docx

A new Note must be created for each key document. For example, you cannot use one Note to record the delivery of a Record of Advice (RoA) and an Ongoing Advice Service Agreement (OASA) to your client in an annual review meeting. In this situation, two separate Notes must be created for the client, i.e. one for the RoA and one for the OASA.

For each Note, the following information must also be captured:

  • Note Type and Subtype: From the File Note Framework (as prescribed)

  • Date: When the service was delivered to your client. For example, when the Statement of Advice (SoA) or Fee Disclosure Statement (FDS) was presented or delivered to your client, or when the client meeting was held.

  • Subject: A brief description of the service or key document delivered

  • Attachment: The final version of the key document presented or delivered to your client. The filename of the key document must also be in line with the Naming Convention.
     

Storing your clients’ other documents and client file information

For all other documents and client file information, you can select your preferred Note Type and Subtype from the new File Note Framework.

Can we use Tasks for storing our clients’ documents and client file information?

No. If your Practice has previously used XPLAN’s Tasks functionality to store your clients’ documents and client file information, XPLAN Notes must now be used for this purpose for new and existing clients.

Consequently, if you use Tasks and Thread templates to manage and keep track of activities relating to your clients (such as the delivery of services), Outcomes can be used to prompt you to create a Note to store the documents and client file information in line with the Digital File Management guidelines.

Can we use our non-XPLAN systems?

If you use alternative systems or tools to prepare your clients’ advice documents and/or store documents and client file information, you are welcome to continue using them.

However, ALL NEW documents and client file information for new and existing clients must now also be stored in XPLAN Notes as per the Digital File Management framework.

Emails sent to individual clients and to groups of clients in bulk can also be saved as Notes (including any documents attached). You can also use email templates to pre- populate text and settings in your client emails. To learn more, in the XPLAN Hub go to Notes, emails, tasks & threads > Emails:
