  Merging Clients in XPLAN - Overview


The purpose of this guide is to provide instructions on merging duplicated client records in XPLAN.

The merge client option in XPLAN is useful when you have more than one entity ID for a particular client. The details of two clients can be merged. This functionality will copy data from a source client to a target client. This can be used, for example, when two different advisers have created client entities for the same person.

 


 Merge Client Considerations


  • Data from the source client will not override data in the target if the field will only accept one value.
  • Any XPLAN fields which allow multiple entries (such as the cash flow income and expenditure fields), will move this data across, and may cause data to be doubled up.
  • All insurance policies are moved to the target client, and removed from the source client.
  • If the source client has any CommPay mapping attached, this will be transferred to the target client on merge.
  • To prevent duplication of holdings and transactions, Portfolio data (including data feeds and manually added positions) are not transferred. This can be completed manually after the merge either by remapping the Datafeed or transferring these holdings in the Portfolios > Admin areas.
  • The source client is not changed or removed by this process. After the merge, you can choose to archive or delete the client as you see fit.
  • Any notes, tasks and threads that are in the source client are transferred to the target client on completion.

 

How to Merge Clients

  • Bring up your entire list of clients in XPLAN, by clicking in the search bar and selecting Full List
           

  • In the navigation menu on the left side of the screen, select Functions > Merge Client.




  • Select the Source and Target clients. Keep in mind, the target client record is the client you wish to maintain as your main entity going forward.



  • Once selected, click Merge in the top left of the screen. This will bring up a confirmation message.
  • On the confirmation page, after checking the details, click merge again to complete the merging of these clients.



  • Archive the Source client using your practice procedure.
