Administration - IMAP: Setting Up for Outlook 2013

Setting Up for Outlook 2013 Overview

To set up your IMAP with Outlook 2013 you will need to know your own outgoing mail server (SMTP) details. These details will be the same for everyone in your office. If you do not know your details you will need to confirm these with your IT person. These details will be specific to your office so we are not able to confirm these details for you.

  1. Click on ‘Add Account’

  2. Select ‘Manual setup or additional server types’ and click Next

  3. Select ‘Pop or IMAP Account’ and click Next

  4. Enter your details. Please note the following settings

    • Account Type: IMAP

    • Incoming mail server: mlc.xplan.iress.com.au

    • Outgoing mail server (SMTP): Your outgoing server address (please contact your IT

      person if you require confirmation of this address)

    • User Name: YourXPLANUsername@mlc (eg bruce.wayne@mlc)

    • Password: Your XPLAN Password

     
  5. Click ‘More Settings’

  6. Under the General tab, type a name for your IMAP folder (eg XPLAN IMAP)

  7. Under the Outgoing Server tab, enter your outlook username and password.

  8. Under the Advanced Tab, enter the following details.

    • Income server (IMAP): 993

    • Encrypted Connection: SSL

  9. Click Ok

  10. Click Next to test your settings. You should see the following message.

  11. Click ‘Finish’ to close the Wizard.

  12. You should now see an IMAP Inbox in your left hand menu.

  13. Right click on the IMAP Inbox and select IMAP folders.

  14. Click Query.

  15. When Outlook has retrieved your folder list, un-tick the box 'When displaying hierarchy in Outlook, show only subscribed folders'.

  16. Click Apply and then click OK.

  17. Once the folder hierarchy has finished synchronising, each individual client will have their own folder.

  18. You can now drag emails into these folders to transfer them to the client's notes in XPLAN. You can also copy and paste the email into a folder. This retains a copy of the email in your Inbox. We recommend you test this by dragging or copying an unimportant email into the folder of a test client. You should be able to locate this email under your client’s notes in XPLAN.
