Setting Up IMAP Overview
The purpose of this guide is to providing instructions on setting up IMAP for Office 365.
Outlook email accounts can be linked to XPLAN via IMAP, allowing users to copy emails from Outlook into the Document Library.
Office and 365 IMAP Integration Note
- Office 365 only refreshes once every 24 hours. As a result, changes to Notes may take up to 24 hours to appear in Office 365. XPLAN Threads and Tasks will continue to operate correctly, however notifications may not arrive for up to 24 hours.
- Office 365 is only designed for one way IMAP synchronisation. Any changes made to your IMAP folders within Office 365 will not synchronise back to XPLAN.
- Word or Excel files within XPLAN cannot be directly opened in Office 365. You must download the documents.
- IMAP folders are located within your Office 365 Inbox.
To Set Up Office 365 IMAP Integration
You will require the following details:
- Incoming mail server (IMAP) - wealthaxis.xplan.iress.com.au
- IMAP server port - 993
- IMAP encryption type - SSL
- User Name - in the form of xplanusername@wealthaxis
- Click on Add Account
- Select Manual setup or additional server types and click Next
- Select Pop or IMAP Account and click Next
- Enter your details. Please note the following settings

Account Type: IMAP

Incoming mail server: wealthaxis.xplan.iress.com.au
-
Outgoing mail server (SMTP): smtp.office365.com
-
User Name: xplanusername@wealthaxis
-
Password: Your XPLAN Password
- Click More Settings
- Under the General tab, type a name for your IMAP folder (e.g. XPLAN IMAP)
- Under the Outgoing Server tab, enter your Office 365 username and password. Usernames for Office 365 will usually be your full Office 365 email address.
- Under the Advanced tab, enter the following details.

Incoming server (IMAP): 993

Encrypted connection: SSL Outgoing server (SMTP): 587

Encrypted connection: TLS
- Click OK
- Click Next to test your settings.
You should see the following message.
- Click ‘Finish’ to close the Wizard.
- You should now see an IMAP Inbox in your left hand menu.
- Right click on the IMAP Inbox and select IMAP folders.
- Click Query.
- When Outlook has retrieved your folder list, untick the box 'When displaying hierarchy in Outlook, show only subscribed folders'.
- Click Apply, then click OK.
- Once the folder hierarchy has finished synchronising, each individual client will have their own folder.
- You can now drag emails into these folders to transfer them to the client's notes in XPLAN. You can also copy and paste the email into a folder. This retains a copy of the email in your Inbox. We recommend you test this by dragging or copying an unimportant email into the folder of a test client. You should be able to locate this email under your client’s notes in XPLAN.
Troubleshooting Errors
Log onto incoming mail server (IMAP) – This is testing your XPLAN username and password.
To resolve this error, check your details on the ‘Advanced’ tab within ‘More Settings’.
If these are correct re-enter your XPLAN username and password on the ‘Add New E-mail Account’ page. Send test e-mail message – This is testing your outgoing details, if this fails you will encounter the following error message.

If these are correct check your Office365 username and password on the ‘Outgoing Server’ tab within ‘More Settings’.
