Adding a Recurring Task Overview

The purpose of this guide is to demonstrate how to create a recurring task within XPLAN 

Recurring Tasks are used to create the same task periodically. It is important to note that when you create a recurring tasks, you are creating a template that will activate the recurring tasks.

The Task itself doesn't actually exist until the start date has been reached. This means that you cannot report on future recurring Tasks before the start date/activation of the actual Task that is created.

 

How to create a Recurring Task

  1. Click on the Quicklinks
  2. Select Task from the drop down menu. 


  3. Select Recurring Tasks from the List

  4. Click on the Add button to add a new recurring task.  



  5. Complete the details of the Task as you would normally.
  6. The details tab contains the additional fields you need to complete in order to set the task up to reoccur at defined intervals.
  7. Select the Start Date for the task that is when the first task will activate. 

  8. Then select if the recurring task will have an end date or not.
  9. By selecting Has End Date you will be required to enter the date you wish to stop the task from occurring.
  10. If you don’t have a specific end date for the task, you would select No End Date.
  11. This means that this task will continue to activate until we deactivate the recurring task. 



  12. Select the Frequency you require the task to activate. The task will activate based on the option selected in the Repeat



  13. It is important to ensure you select Activated in this field to activate the recurring task. In the future to stop the task from activating you can edit the recurring task and select deactivated from this field. 

  14. The start date, repeat and activated fields are the fields that you will be required to complete to ensure you have set your task up to re-occur. The remaining fields can be completed normally as though you are adding a normal task. 

  15. Ensure you select whom the task is assigned to as well as the Entity (if applicable).



  16. Once you have completed entering the remaining details in the task, click Save.



    The recurring task you have just created will now appear in your Recurring Task list. The recurring task can also be deactivated from this screen by clicking on the Status drop down box and selecting deactivated.
