Compliance - FOFA: Recording Services Delivered - Manual Service Tracking

Manual Service Tracking Overview

Manual service tracking enables you to record the delivery of service components that may not have service tracking rules (e.g. client enquiries, Centrelink assistance). It will also enable you to record the delivery of service components with service tracking rules, but the delivery of the service completed hasn’t been recorded in XPLAN, or has been recorded incorrectly, i.e. an incorrect Note or Review type and sub-type was selected.

If your Practice has selected service tracking as the preferred method for reporting the delivery of service components on your clients’ FDSs, this will ensure the service component is disclosed on the client’s FDS when it is merged (or generated) at the end of their service arrangement period.

 

How do I manually track the delivery of a service component

To use manual service tracking to record the delivery of a service component:

  1. Search for and select the master client’s (or entity’s) record.

  2. Go to FOFA (FDS & Opt-In) > FOFA Data.

  3. Click Edit.

  4. In the Package Summary panel, tick the delivered service component(s) in the Reactive Services area.

    • The list of service components displayed in the Reactive Services area includes core and non-core services

      All ticked service components will be disclosed on the client’s FDS when it is merged (or generated) at the end of their service arrangement period.

      If a service component with a service tracking rule has been recorded as delivered in XPLAN using the correct Note or Review type and sub-type, it will be disclosed on the client’s FDS. If the service component has also been recorded as delivered using manual service tracking, it will only be disclosed once on the client’s FDS.

  5. Alternatively, you can enter services delivered text in the Other Custom Services text box in the Package Summary panel, for disclosure on the client’s FDS.

    • Any formatting of the text will not be applied to the client’s FDS when it is merged. Subsequently, it may need to be manually formatted as required after the client’s FDS has been merged.

  6. Click Save.
