Workflow - Threads: Threads Customisation

Thread Customisation Overview

The purpose of this guide is to provide instruction on how to customise a Thread.

A thread is a series of related tasks, designed to follow a certain process. Threads are used to help build business efficiencies and guide users through your business processes. Threads save time and money by automating certain processes such as merging templates, emailing clients and recording client information.

There may be situations where there is an existing thread template that you wish to customise by making simple changes to the template to be used within your practice. This guide will demonstrate how to customise a thread that requires only basic changes including:

  • Create and customise a new thread template from an existing on
  • Edit the description of the new thread
  • Edit the task description; and
  • Change the email template linked to a task within a thread.

 

How to access Thread Templates

To access the Thread templates:

  1. Click on the XPLAN button.
  2. Select Administration Functions.
  3. Select Templates.



  4. In the left menu click on Tasks and Threads.
  5. Select Thread
  6. A list of all the existing templates is displayed in the Thread Templates panel.



    There are two methods in which you can copy an existing template to be customized:
  • Export and Import a Thread Template; or
  • Load from an existing Thread Template

 

Export and Importing a Thread Template

How to export an existing Thread template:

  1. Locate the thread template that you wish to export and click on the Export icon.



  2. Save the file to your desktop.



    Once you have exported the thread template you are required to import it into a new template.
  3. To import the file as a new template, click on the Add button.



  4. Click on the Choose File button, locate and select the saved thread template file.
  5. Click Import and the details of the thread template that you exported will populate into the new template.



    Here you can edit the thread details as required.
  6. Enter a new name for the thread into the Name field.
  7. Edit the description of the thread in the Description field.



  8. Click Save to save any changes you have made.
  9. Scroll down the page to the Links panel.

 

Edit a Thread Template

In the Tasks tab, all the tasks from the thread template you exported will have also imported into the new template. You have the ability to edit the tasks here as required, customising the new thread.
The next step illustrates how you can change the email template within a task that is sent to the client.

  1. Locate and select the task to be edited. In this example we are editing the “2.1.1 Referral Thank You Email” task. Click on the edit button.



    On this page you have the option to edit the:
    Task Name
    Subject of the task; and the
    Description of the task.
    • You also have the option to edit any of the fields in each of the tabs if required.

    To change the email template:
  2. Click on the Outcomes Tab.
  3. Edit the existing Email Template by clicking on the edit button.



  4. Click on the dropdown box to select the new template.
  5. Click Ok.



    The task shows the Blank Email will now be sent to the client upon completion of this task.

  6. Click Save to save any changes made to the task.



  7. Click Back to return to the Thread Templates screen.



    The thread template you have created and customised will appear in the list.

     

 

Load from Templates to Customise Thread

To customize a thread using the Load from Templates option:

  1. Click on the Add button.



  2. Click on the drop down box in the Load from templates field and select an existing template to be customised.

    The details of the selected template will populate into the fields within the new template. Edit the thread details as required.

    1. Enter a new name for the thread into the Name field.
    2. Edit the description of the thread in the Description field.
    3. Click Save to save any changes you have made.



    4. Scroll down the page to the Links panel.



    In the Tasks tab, all the tasks from the thread template selected will populate into the new template. You have the ability to edit the tasks here as required, customising the new thread. Tasks can be edited by clicking on the edit button.
    Once you have edited the tasks, scroll to the top of the page.

    5. Click Back to return to the Thread Templates screen.



    The thread template you have created and customised will appear in the Thread list.
