Workflow - Tasks: Link Review to a Task Template

You can link a Task or Thread template to a Review type at Practice (or User Group) level. When a Review is created for a client, a new Task or Thread is then automatically created from the linked template based on the Review Type selected. When the Task or Thread is completed, the Review can also be automatically completed.

You are only able to link Reviews to a Task or Thread template if you have a Standard User Plus login. To arrange access, please contact your Technology Implementation Manager.

How to set up Review linking

To set up your Practice’s User Group signature:
  1. Go to XPLAN > User Functions > Administer Groups:

  2. Select your Practice’s name from the search results (by clicking on the hyperlink):

  3. In the Group Menu, go to Admin > Review:

  4. In the Review Settings panel, click Add.
  5. In the Edit Setting dialog box, select the required options:

    1. Select the Review Type to be linked to a Task or Thread.
    2. Select the Task/Thread Template that will be used to create a Task or Thread when a Review is created

      You can configure Review linking to create both a Task and Thread when a Review is created. If they are both set to complete the Review on completion, the first completed Task or Thread will complete the Review.

    3. Complete Task/Thread will complete Review: Yes / No.
      1. Yes: Completing the Task or Thread will complete the linked Review.
      2. You will be given an additional option to Autocreate New Review on Task/Thread Completion. By selecting Yes, when the Task or Thread is completed, you’ll be able to select Yes or No to create the next Review:

      3. No: Completing the Task or Thread will not complete the linked Review. The Review must be manually completed.

  6. Click Save.
 

When will the Task be activated?

When a new Review creates a Task, if the Review Date is after Today, the Task will be created and set as inactive. The Task will be activated when the Review Date is reached.
 

How will the Task or Thread be assigned?

Tasks

When a new Review creates a Task, the Task will be assigned as follows:
  1. If the Task template is assigned to a specific user, the Task will be assigned to the Review Responsibility user.
  2. If the Task template is assigned to a Dynamic Role, this will be respected and the Task will be assigned to the dynamic assignee.
 

Threads

When a new Review creates a Thread, the Thread Tasks will be assigned as follows:

  1. If Override Assignee is set to Yes, and the Task is assigned to a specific user, the Thread Task will be assigned to the Review Responsibility user.
  2. If Override Assignee is set to No, and the Task is assigned to a specific user, this will be respected and the Thread Task will be assigned to the specific user.
  3. If the Task is assigned to a Dynamic Role, this will be respected and the Thread Task will be assigned to the dynamic assignee.
