Sending an SMS is the same process as sending an Email in XPLAN.
When you are viewing a client's contact details:
SMS emails are entered in the format of tele@domain.com.au where telephone is the recipients mobile phone number and the domain is the external SMS email provider. For example a clients SMS email could be 12345@provider.com.au
XPLAN has the ability to store the SMS gateway for use when sending SMS emails. This alleviates the need to add the @domain when adding an SMS email contact to a client.
Having this stored within XPLAN automatically adds the domain to the contact number when sending SMS emails and also eliminates the need to modify SMS email contacts if the domain were to change.
Please note that SMS emails are plain text messages only and XPLAN will convert any email messages to plain text.
Navigate to the Contact screen within a client record and click Add.
Select SMS Email from the contact Type drop down menu.
Add the client's mobile phone number to the value field ensuring you factor in the country code and add @domain after the number if the provider details are not stored and nominated to automatically select the domain details. If these details have been updated within your site you are able to just enter the client's mobile phone number into the value field. The help desk will be required to set the SMS Gateway up for practices.
When you have completed the SMS contact details click Save.
To send an SMS email to one recipient navigate to the Client's contact details screen and click on the SMS Email link.
Type your brief SMS message and click send. You are able to utilise both the subject line and the email content areas to type your message. Please ensure the SMS messages are kept to a minimum. If an SMS message is over a certain number of characters the external SMS provider may split this over multiple messages and incur a charge per message. This may vary and is determined by your SMS provider.
When you have completed your message, click Send.
To send an SMS email to a bulk list of clients you must first generate the required client listing. Please refer to the "Searching for Clients" learning event for detailed instructions on how to generate a client list.
When all clients to receive the SMS have been selected by ticking the box next to the client name, click on the SMS heading similar to as you would do to send a bulk email.
The email editor will appear to generate your SMS message for all recipients. The SMS message can be created using the Subject line or the Contents text box remembering to keep to the message to a minimum number of characters.
The Recipients/Clients tab will provide a list of all recipients of the SMS. When all detail has been checked click Send.
