Access Holdings and Transactions Overview

The purpose of this guide is to demonstrate how to view Transactions for clients within their portfolio from the position screen; and search for Portfolio Transactions across all clients. 


Note: Login to share broker (in this case Lonsec) and check to see if the unit holdings in position are the same as on the broker platform. If they match, corporate action will not need to be added. (This is presuming that all holdings have been added to the brokers HIN). If they do not match then each transaction will need to be added in as a separate line item

 

Viewing Transactions within the Client’s Investment Portfolio

 Whilst in the client's Portfolio Position screen:

  • Click on the Action Arrow next to the investment you want to view the transactions for and a pop up menu will appear.



  • Select View Transactions and you will be taken to the Transaction screen that will list the transactions for this particular investment

  • If you want to view only transactions for this investment between a specific period, enter the dates into the Date Range You can also click on the dropdown arrow to select from a range of predefined date ranges.



    You can select from any of the predefined date ranges to filter the transaction list.



Note: Delisted Products

Products become delisted for many reasons and can cause issues in reporting as well as displaying the correct values. In XPLAN, delisted products show the last available price as the source of truth is the ASX, who will always display the last traded price.

To resolve this, the product should be sold down, which will be a manual closing of the position. Below is the recommended way of achieving this:

  1. Find the particular holding in the holdings overview for the client under the portfolio position and click the dropdown

  2. Add the sale as seen above by choosing the units to sell down, which should equal the total units to counter the position.

  3. Click the calculator button on the gross amount and then save.

 

Viewing Transactions via the Transactions Screen

 Whilst in the client's record:

  • Click on Portfolios and the menu will expand.

  • Click on Portfolio.

  • Then select Transactions.

  • To view all transactions for each asset, click on the down arrow in the Date Range field to display a list of predefined date ranges.

  • Select Since Inception to view all transaction starting at the original purchase of the investment.

A list of all the investment transactions, since inceptions, within the client's portfolio will appear in the Portfolio Transaction panel. 

  • You can also filter the transaction list by Account by clicking on the drop down box and selecting the account you wish to view transactions in.

  • Click on the Transaction Type drop down box to filter the portfolio transactions list by the type of transaction, e.g. Purchases only.

  • The Investment Type field allows you to filter the portfolio transaction list to display either Cash Accounts Only, Non-Cash Only or to View All.

  • The portfolio transactions list can also be filtered by the Transaction Status of the investments such as: Actual, Calculated or Unconfirmed transactions.

  • The Security Code filter can be used to filter the portfolio transaction list to display transactions for specific codes such as NAB. Any security codes held within the clients portfolio will be listed in this dropdown box, however the options will also depend on the other filters selected such as the Account.

  • The portfolio transaction list can be filtered further to display specific Security Exchange. This may be useful when you want to view only ASX holdings across all portfolio accounts.

 

Searching Portfolio Transactions Across All Clients 

To search for portfolio transaction across all clients that is visible to you:

  • Click on the XPLAN button to display the menu options.

  • Hover over Portfolio Functions.

  • Select Portfolio Transactions. You will be directed to the Portfolio Transactions

The Filter Options for Portfolio Transactions panel contains fields enabling you to filter your search results for the portfolio transaction. 

The Portfolio Transactions panel will display details for each transaction that meets the search criteria.

 

 

Filter Options for Portfolio Transactions  

  • The fields within this panel are used to refine your search criteria. You can refine your search by using any of these fields:

    • Saved Search - This field allows you to refine your search using the criteria of a previously saved Advanced search.

    • Portfolio Group - You can choose to display only the transactions for a selected portfolio group.

    • Portfolio - This field is used when you want to display only the transactions of a selected portfolio.

    • Client Category - You can use this field to display only the transactions for clients in a specific category.

    • Timeframe - Transactions can be searched based on a specific timeframe in which the transactions occurred. This may include only transactions that occurred today only.

    • Security - This field is used to search for transaction that have occurred for a specific security such as NAB.ASX.

    • Transaction Type - The search results can be refined further by selecting the transaction type to filter by.

    • Transaction Status - This field is used to filter the search results by a specific transaction status such as Actual or Calculated etc.

    • Vendor - This field enables you search for transactions from a specific vendor.
  • Once you have refined your search criteria using the required fields, click on the Search icon to display the search result in the Portfolio Transaction panel.

  • The details for the portfolio transactions that meet the search criteria will be displayed in the Portfolio Transactions panel.

  • To edit the transaction for any of the transactions listed, click on the down arrow and select Edit transaction.

  • The Transaction Details screen will appear. Edit the transaction details as required.
