Conversion Process Guide - XPLAN: XPLAN Conversion Fact Sheet

 

The IRESS transition team has a range of tools and procedures in place to perform data conversions from various sources into XPLAN for new XPLAN clients, or existing clients that move from one XPLAN site to another.

We currently support the conversion of data from the following systems:

  • XPLAN
  • ACT!
  • AdviserLogic
  • AdviserNETgain
  • COIN
  • E-Broker
  • Midwinter
  • PlatformPlus
  • RiskWiz

Depending on the source of the data that needs to be converted, IRESS can use standard procedures that do not require additional development, or procedures that have already been developed to a basic level but that will require further development before the conversion can be done.

Data can also be converted from sources not listed above but may require the creation of new procedures that will affect delivery time frames.

 

Engagement with your Practice

Understanding your expectations with regards to the conversion of your data is crucial to ensure a smooth transition to XPLAN. IRESS employs a team of dedicated staff who specialise in the conversion of data from various sources into XPLAN. All aspects of your data conversion will be coordinated by a Transition Consultant who will work with your practice during the conversion process. To ensure the best possible outcome we suggest that an XPLAN Champion is nominated in your practice who can work closely with the Transition Consultant to confirm requirements and to check the converted data.

Conversion Guides and Fact Sheets provide details on how your data will be converted and will highlight any areas that require specific attention.

Your Account Executive will arrange for a Transition Consultant to contact you if you wish to proceed.

 

Your Role

During the conversion period you will be responsible for preparing and testing your data, in addition to providing timely feedback and sign off where required.

Your Transition Consultant will explain the actions you need to complete during the conversion process.

 

Conversion Time Frames

The time to complete a conversion depends on various factors such as the type of conversion, whether your XPLAN site is available and ready for the conversion and any other considerations that will be identified while preparing for your conversion. Conversions with standard procedures can usually be accommodated within two weeks after all requirements have been confirmed.

Conversions that require custom work will be scheduled based on the amount of additional work required. Your Transition Consultant will work with your practice and Account Executive to schedule your conversion on a suitable date.

 

Providing a Copy of your Data

With the exception of conversions from existing XPLAN sites, it is the responsibility of your practice to provide the data that must be converted. If you will be converting data from an XPLAN site IRESS will need permission from an authorised representative of the source site to extract your data.

Please note that no changes should be made to the data in your current system after the data has been sent to IRESS because these changes will not be included in the conversion.

 

Data Security

The protection of your data is of the utmost importance. Only authorized IRESS personnel will have access to your data during the conversion process and the data that was used for the conversion will be destroyed as soon as you sign off your conversion. A copy of the IRESS policy with regards protecting conversion data can be requested from your Transition Consultant. We recommend you ensure your data is adequately protected before sending it to IRESS

 

Conversion Cost

Your Account Executive will provide details regarding standard conversion costs. 

Please note that additional costs may apply if you have specific requirements with regards to custom fields and custom business rules not supported by the current conversion procedures. Additional costs will be communicated to you after these additional requirements have been reviewed

 

Considerations

It is important to remember that data conversions are inherently complex and can be further complicated by the differences between the various data sources and XPLAN and the way in which different users utilise their systems. Due to these factors all data might not be converted and some of the data might not meet your expectations after conversion.
