Advanced Search Criteria
List item must meet all criteria
The checkbox List item must meet all criteria can be used when a client may have multiple items in categories, such as two or more postal addresses.
With the checkbox unticked, AND criteria need to be met across the client's details as a whole, so a search for Suburb = Sydney AND State = Vic may return a result if the client has two addresses, one in Sydney and one in Victoria.
With the checkbox ticked, the criteria must be met within a single item, ie. The client must have an address that contains both Sydney and Vic.
Data Exists
Data Exists option allows you to search for clients that have no data saved in a Field Group. For example, you can find all clients that have no Address data saved.
Other than the Entity field group, all Field Groups can be searched against. The Entity Field Group contains required information such as a client’s Entity ID, First Name and Surname, and all client entities will have data saved against the Entity Field Group.
Search using Dates
When using dates as criteria the follow information applies:
- Choose an Operation with 'date' at the end, as these a specifically designed for date functions.
- 'Equal Month', 'Older than Month', 'Less than Month' operations search only in the month field, and ignores day and year.
- 'Older than' and 'Later than' are specifically designed to search for notes, although may be used elsewhere
Single Criteria
- Click Add in the Advanced Search screen. A variety of different searching criteria displays.
- Using the drop-down lists and boxes, enter a single criteria to be searched.
- Click Add. The search criteria displays, listing the current criteria.
- Click Search.
Multiple Criteria
- Click Add in the Advanced Search screen. A variety of different searching criteria displays.
- Using the drop-down lists and boxes, enter a criteria to be searched.
- Click Add More. A new selection of search criteria displays.
- Enter the search criteria. Click Add on the final criteria. The search criteria displays, listing the current criteria.
- Click Search.
OR/AND/NOT Criteria
Searches using OR/AND/NOT logical filters are very flexible, and can range in complexity from a simple 2-term OR search to a multilevel, multi-term criteria.
By default results must meet all criteria, however by using the boolean functions of AND, OR and NOT searches can be generated where results can meet one of multiple different requirements.
- AND - all criteria within the AND function must be met.
- OR - results will meet any one or more criteria in the function.
- NOT - inverts the other two functions (returns the opposite results). NOT AND returns clients that don't meet all the criteria in the AND function, and NOT OR returns clients that don't meet any of the criteria.
Note: These functions can only be used for searching Field or Group criteria.

Using AND / OR
- Click Add. A variety of different searching criteria displays.
- Click the Filter List A drop-down list displays.
- Select the AND/OR function.
- Click Add. The search criteria displays, listing the function.
- Click the Add Icon next to the function. The criteria selection window opens.
- Add the first search criteria
- Click the Add Icon next to the function. The criteria selection window opens.
- Add the second search criteria
- Add any additional search criteria
- Click Search when all criteria have been entered
Using NOT
- When adding an AND/OR function, tick the NOT: Negate the filter result
- Click Add. A NOT function has been created.
