XPLAN is a web-based system that provides users with a diverse array of tools to meet any financial planning requirement. It delivers a web based standardized system for managing client data, investment projections, portfolios, risk and reporting.
The purpose of this guide is to provide an overview of the XPLAN Navigational Panel and understand the functions within the menu options. The XPLAN Navigational Panel contains a number of links/functions and is always accessible at the top of the screen whilst in any XPLAN screen.
Use the User ID and Password that has been assigned to you to login to XPLAN
The Dashboard can be customized to quickly and easily display information you may require based on your role.
When you login to XPLAN the first screen to appear will be the User Dashboard (home page), as shown below.
The logo contains a shortcut link to take you back to the User Dashboard.
Click on the Wealth Axis logo whilst in any XPLAN screen to return to your User Dashboard.
The XPLAN Menu contains a number of options to access administration and module functions. Only certain options will appear in this menu, dependent on your user access level.
Depending on your user capabilities, data can be added to XPLAN for new clients, groups, professional advisers, referrals and suppliers.
The Add Menu also contains links to add a diary event, note, task or thread.

The Quicklinks menu can be customised to display a list of links you access regularly, allowing you to navigate to pre-determined components of XPLAN directly from the drop down menu.
Customise your Quicklinks by clicking on the Edit Quicklinks and a pop up screen will appear
To remove a link from your Quicklinks Menu, locate the component and either click on the tick box to remove the tick beside the option to be removed or alternatively click on the Clear All button to remove all the ticks from the links displayed.
Instant Search is accessed by clicking the magnify glass icon in the Title bar, or by pressing CRTL + SHIFT + F on any XPLAN page.
The Quick Search box allows the user to search via Clients, Users, Groups, and Documents etc. As you can see in the example the search criteria has been set to search for Clients.
You will then be presented with a list based on the name or keyword you entered into the search box.
Other options for searching are available by clicking on the List, Recent or Advanced options below the search box.
XPLAN provides notification messages via the envelope icon at the top of the screen. The number of notifications messages that you have unread will appear beside the envelope icon.
The notification messages are used to notify you generally when a report is ready to be downloaded or when an activity relevant to your client has occurred (such as a task to be done for the client is now overdue). When you generate a report within XPLAN you will need to click on the envelope icon and a pop up screen will appear with the notification message.
The example provided informs the user that the Client Review Report document has been generated and is ready to be downloaded.
Sticky Notes allows you to write short on screen notes, which stay attached to a client or a specific page. When you load a page with a Sticky Note a small icon displays that is clicked to open the Note.
You can set the color and whether it is public or private.
For important notes the Add Warning option changes the icon of minimised Notes to. Sticky Notes can be dragged to set their position.
Tip: When a Sticky Note is positioned directly next to the client's name the Sticky Note can be accessed on all pages for the client. Otherwise the Sticky Note will only display on the page it is created. |
Clicking on the Time Taken option will display a pop up screen with a timer that will allow you to track the time taken to complete your work and attach this time to a client or a client’s task. Multiple timers can be used and paused as required.
To edit the settings applicable to your user account, click on Preferences in the Title Bar.
You will be taken to a screen where you can edit your own settings such as changing your password and selecting specific options within your XPLAN (e.g. the number of recent clients to be displayed, the number of columns to display in the diary, the width of columns in your task screen etc.).
